Sponsorship Terms and Conditions
These Sponsorship Terms & Conditions (“Terms”) apply to all sponsorships of the Orlando Kite Festival (the “Event”), which is organized and produced by Trap Baby & Me (“Organizer”). By completing a sponsorship registration and submitting payment, the sponsoring organization (“Sponsor”) agrees to the following Terms.
1. Sponsorship Confirmation
Sponsorships are confirmed upon receipt of payment. Sponsorship fees are non-refundable unless the Event is canceled in its entirety.
2. Authorized Representative
The individual completing the sponsorship registration represents and warrants that they are an authorized representative of the Sponsor and have the authority to bind the Sponsor to these Terms.
3. Sponsorship Benefits
Sponsorship benefits are determined by the selected sponsorship tier. Benefits may include recognition, on-site participation, activations, or other opportunities as outlined on the sponsorship page or communicated by the Organizer.
All benefits and recognition are subject to production timelines, space limitations, Event logistics, and safety requirements. The Organizer reserves the right to make reasonable substitutions or adjustments when necessary.
4. Deadlines & Materials
To ensure inclusion in promotional materials, the Sponsor must submit all required assets, including logos and artwork, by the published deadlines. Late submissions may limit placement or inclusion in certain materials.
5. Use of Name, Logo, and Trademarks
The Sponsor grants the Organizer permission to use the Sponsor’s name, logo, and provided branding assets for purposes related to promotion, marketing, recognition, and documentation of the Event.
6. On-Site Participation
Any on-site participation, including vendor tables, activations, volunteer involvement, or interactive experiences, is subject to availability, coordination, and safety requirements as determined by the Organizer. On-site participation details will be confirmed following sponsorship registration.
7. Media, Photography, and Recording
The Organizer reserves the right to photograph, film, and record the Event. Sponsor representatives, branding, and on-site activations may appear in photos or videos used for promotional, marketing, reporting, or archival purposes.
8. Event Changes & Force Majeure
Event details, including date, time, location, and programming, are subject to change due to weather, safety concerns, or circumstances beyond the Organizer’s reasonable control. In such cases, reasonable accommodations or substitutions may be made.
9. Limitation of Liability
The Sponsor participates in the Event at its own risk and agrees to release and hold harmless Trap Baby & Me, the Organizer, and its officers, employees, contractors, partners, and volunteers from any claims, damages, or losses arising from participation in the Event, except where prohibited by law.
10. Entire Agreement
These Terms constitute the entire agreement between the Sponsor and the Organizer regarding sponsorship of the Event and supersede any prior discussions or understandings related to sponsorship participation.
